Luxury villa wedding in Provence: Our guide for an unforgettable event

You are planning your wedding and the idea of a private villa in Provence appeals to you. Good news: it's one of the most popular formulas for couples seeking an intimate, elegant and deeply personal event. Provence provides the setting, the high-end villas offer the venue, and our concierge can take care of the rest.

Mariage à cotignac, les cles de provence

This guide is designed to help you see things clearly. Which villa to choose based on the number of guests? What budget to plan for? Which service providers? What authorisations? How to manage the logistics of guests travelling from afar? We address each of these questions one by one, with the perspective of a local concierge that regularly supports couples through this adventure.

Whether your project is an intimate ceremony for twenty guests or a large wedding for over a hundred, here is everything you need to know to organise your luxury villa wedding in Provence.

Why choose a villa for your wedding in Provence

A private villa is not a château, not a wine estate, not a hotel. It is something else. It is a living place that becomes, for a few days, your celebration venue. This difference changes a great deal in the experience your guests will live and in the memory you will keep of your wedding.

First, intimacy. You are at home. No one comes next door for a seminar, no one crosses your cocktail in the lobby. Your loved ones sleep on site, share breakfast together, and continue conversations late into the night by the pool. The wedding becomes a shared stay.

Then, flexibility. A villa lets you imagine the day you want. Secular ceremony in the garden beneath the olive trees, cocktail by the pool, dinner on the terrace by torchlight, dancing late into the night. No schedule imposed by a venue, no technical constraints of a listed château.

Which villa to choose for a wedding based on guest numbers

The basic rule to grasp: the villa's accommodation capacity and its event capacity are not the same thing. A villa sleeping eight can host fifty guests for the ceremony and dinner. It's the organisation that changes depending on your guest count.

Intimate wedding (20 to 50 guests)

This is the format we see most often, and it's often the most successful. With a maximum of fifty guests, you stay in a warm wedding where each guest truly counts. Several of our villas are perfectly suited to this format. Accommodation for eight to ten close relatives, secular ceremony in the garden with around thirty chairs, seated dinner on the terrace, relaxed evening by the pool.

The advantage of an intimate wedding: fewer logistical constraints, a more measured budget, a unique atmosphere. It is also the format that best captures the spirit of a private villa.

Medium wedding (50 to 100 guests)

This is the format where Maison La Clé comes into its own. This villa accommodates sixteen people but its event capacity can host up to one hundred guests. Typical setup: ceremony in the garden with a flowered arch, cocktail by the pool, dinner under a reception marquee or on the large terrace, after-party in the pool house.

At this attendance level, coordination becomes essential. Wedding planner, professional caterer, technical team for sound and lighting, organised parking: as many providers to orchestrate in advance.

Large wedding (100 guests and over)

Beyond a hundred guests, the main challenge becomes accommodating loved ones. A single villa is no longer enough. The solution is to mobilise several neighbouring villas, or to combine a reception villa with local hospitality for guests. Our concierge can coordinate this logistics by mobilising our network of villas and our hotel partners in the Haut Var.

The key steps to organise your villa wedding

Organising a villa wedding requires anticipation. Here are the four major steps to follow, with the timelines we recommend.

Step 1 — Choosing the venue (12 to 18 months in advance)

Wedding villas are booked very early, particularly for Saturdays in May, June and September. Physically visit the chosen villa before signing: only a visit allows you to assess the spaces, circulation, light and constraints (parking, caterer access, authorised sound levels, neighbourhood). Our concierge arranges visits for couples committed to their project.

Step 2 — Choosing service providers (10 to 12 months in advance)

Quality service providers in the Haut Var have tight schedules in season. Wedding planner first, who will then coordinate the others: caterer, florist, photographer, videographer, DJ or live band, officiant for the secular ceremony. Our local address book can save you precious time in the selection.

Step 3 — Logistics (6 months in advance)

Accommodating guests requires a great deal of organisation. How many bedrooms in the villa? How many neighbouring villas to mobilise for the rest? Which hotel options within a fifteen-kilometre radius? Should shuttles be arranged for guests travelling from afar? Our 9-seater VITO service with chauffeur is regularly used for these transfers. All of this is put in place six months ahead.

Step 4 — The wedding and after (D-7 to D+2)

The week before, the villa is prepared: deep cleaning, set-up of reception furniture, technical installation, final checks. On the big day, our team is on site to manage the arrival of service providers and resolve last-minute issues. The days following: post-event cleaning, return of any rented items, final inventory. Many couples block the villa for a full week to enjoy time with their loved ones before and after the wedding.

Recommended service providers in the Haut Var

The Haut Var has a solid network of wedding professionals. Rather than naming them individually (the best change over the years), here are the categories to activate and the qualities to favour.

Caterers specialising in Provençal weddings work with local producers and know how to adapt their menus to open-air or semi-covered settings. Expect eighty to two hundred euros per guest all-inclusive (cocktail, three-course dinner, wine, service).

Local wedding planners know the villas, the administrative constraints and the right craftsmen. They generally charge between ten and fifteen percent of the total budget, or a fixed fee between three thousand and six thousand euros depending on the formula (day-of coordination only, or full organisation over six to twelve months).

Wedding photographers specialising in the Var have the advantage of knowing Provençal light and the best spots around Cotignac (tuff rock, olive groves, vineyards, isolated chapels). Expect three thousand to eight thousand euros for full coverage on the day.

Florists accustomed to country-style Provençal weddings work with local seasonal flowers (lavender, olive branches, sunflowers, seasonal plants) and know how to create decorations that blend naturally into the villas. Usual budget between one thousand five hundred and five thousand euros for full floral decoration.

DJs and live bands available in the region can match every atmosphere, from gypsy jazz for the cocktail to an electronic DJ for the evening. Expect one thousand five hundred to five thousand euros depending on the format and reputation.

Our concierge can facilitate introductions to these providers. We know their work and their reliability, and we can coordinate the whole if you prefer not to go through a wedding planner.

How much does a villa wedding in Provence cost?

Transparency on budgets helps to plan a realistic project. Here are the usual ranges per item, without fixed prices since everything depends on your level of requirement and the season.

The cost of the villa

The villa rental varies according to several factors: size, capacity, amenities, season, duration. For a one-week rental in high season (June, July, August, September), expect between three thousand and fifteen thousand euros for the finest properties. In low season, rates can be cut in half. Our catalogue offers several options to suit your project.

Other budget items

Voici les fourchettes habituelles pour un mariage de cinquante à cent invités, hors voyage de noces.

  • All-inclusive catering: eighty to two hundred euros per guest, i.e. between four thousand and twenty thousand euros.
  • Floral decoration and scenography: one thousand five hundred to five thousand euros.
  • Photography and videography: three thousand to ten thousand euros depending on the package.
  • Wedding planner: three thousand to six thousand euros depending on the format.
  • DJ or live band: one thousand five hundred to five thousand euros.
  • Bride and groom attire: variable, expect one thousand to ten thousand euros.
  • Additional entertainment (secular officiant, children's entertainer, etc.): five hundred to two thousand euros.

Miscellaneous (guest gifts, stationery, transport, additional accommodation): five to ten percent of the total.

Our total estimate

For a wedding of fifty guests in a private villa in Provence, expect between thirty thousand and eighty thousand euros depending on your level of requirement. More modest weddings (twenty to forty guests, simplified services) can be done from fifteen thousand euros. The most refined weddings with haute couture, a starred chef and full scenography can exceed one hundred and fifty thousand euros.

Tips for a successful wedding in Provence

Three pieces of advice gathered through the weddings our concierge has supported.

Avoid the peak of the season

Saturdays in June, July and August are the most sought after. If your date is flexible, consider Saturdays in May or September: perfect climate, broader availability, gentler prices than in peak season. Fridays in June are also an excellent option, often less expensive and equally beautiful.

Embrace the Provençal weather

The Provençal climate is generally mild, but the unexpected does happen. The mistral can blow strongly and persistently, especially in May and October. A thundery shower is not rare in July and August. Always plan a covered backup: reception tent, indoor villa lounge, covered spaces for the transitions between ceremony, cocktail and dinner. This is the guarantee of not panicking if something unexpected arises.

Think of guests travelling from afar

For your guests coming from Paris, abroad, or other regions, the journey represents a significant effort. A few thoughtful touches make their stay easier: hotel suggestions within a fifteen-kilometre radius, shuttles from Marseille or Nice airport (our private transfer service can handle this), activity ideas for the day after for those who extend their stay (Verdon, vineyards, beach). The easier the stay, the more positive a memory your guests will keep of your wedding.

Our concierge at the service of your wedding

Organising a wedding remotely, from Paris, Lyon or Brussels, is a challenge. Our local concierge plays the role of on-site coordinator: finding the villa that matches your project, organising visits, facilitating meetings with service providers (caterer, florist, wedding planner), coordinating guest logistics, welcoming arrivals on the big day.

Several additional services can enrich your guests' experience. Welcome gourmet platters on arrival at the villa, breakfasts delivered on the morning of the wedding and the day after, private transfers from airports and stations, hire of our 9-seater VITO for movements between venues. All of this can be booked easily via our online shop.

For couples who prefer to retain full control over the organisation, our role is limited to managing the villa. For those who wish to delegate more, we can go as far as coordinating all the service providers. To be discussed according to your desired level of involvement.

Beyond the wedding: extending the Provençal experience

Many couples take advantage of the villa rented for the wedding to extend the experience after the event. It's the opportunity to slide straight into the honeymoon without tension, in a setting you already know and that your guests have left. The villa regains its peace, you recover from the buzz of the big day, and you start your honeymoon in a restful way.

For guests who also extend their stay, several activities are well worth it: visits to AOC Côtes de Provence vineyards with tastings, a day trip to the Gorges du Verdon, strolls through neighbouring villages (Aups, Tourtour, Salernes, Moustiers-Sainte-Marie), a beach day in Saint-Tropez or along the Var coast. Our concierge can arrange everything for you and your loved ones.

Some couples block the villa for around ten days around the wedding: three days before for preparations and the welcome of the first guests, the big day itself, then five to six days afterwards with the loved ones who stay. It's a format that has become very popular, particularly for international weddings where guests have travelled a long way.

FAQs

Frequently asked questions

It depends on the villa and the format: the accommodation capacity (eight to sixteen people depending on the villa) does not define the event capacity. For the ceremony and dinner, some of our villas can host up to one hundred guests, and even more with dedicated planning. Maison La Clé is our flagship for large receptions.

For a high-season wedding (May to October), we recommend booking twelve to eighteen months in advance. The best villas are taken very early, especially for Saturdays in June and September. For more intimate weddings or in low season, six to nine months may be enough. The earlier you contact us, the wider the choice.

For a wedding of more than thirty to forty guests, it is strongly recommended. The wedding planner coordinates all the service providers (caterer, florist, DJ, photographer), manages the timing on the big day, and takes the logistical burden off your shoulders. Our concierge can put you in touch with local wedding planners we know personally.

The civil ceremony must take place at the town hall. A secular or religious ceremony can be held freely at the villa. Regarding sound levels, each commune has its own rules: generally, the music must stop between one and two in the morning. Our concierge can advise you on the specific local rules for Cotignac and the surrounding areas.

Absolutely, and we even recommend it. Many couples block the villa for a full week: two to three days before to prepare and welcome the first guests, the big day itself, and two to three days after to enjoy time as a couple or with loved ones. Our concierge can arrange tailor-made activities (Verdon excursion, vineyards, gastronomy) during this extended stay.
